Who this policy applies to

Pathshala is a school management service for school owners, administrators, teachers, students and parents or guardians. A school provides accounts and decides which school records are entered and who can access them. The app shows records according to the signed-in account’s role and school.

Information handled by Pathshala

Depending on the features a school uses, Pathshala may handle:

• Account and contact details, such as name, username, mobile number, email address, school, role and login verification information.
• Student and family details, such as admission and roll numbers, class, section, parent or guardian names, address, student photo and family links.
• School records, such as attendance, exam marks and results, timetable, fee charges, discounts, payments and balances.
• Teacher and school staff details, such as profile information and photos, class assignments, attendance, check-in records and salary information.
• Photos selected or taken for a profile or attendance check-in. When a photo is uploaded, the service may store the original and app-ready versions used to display it.
• A teacher’s precise device location when the teacher chooses to submit a self-attendance check-in. Location is used for that check-in and is not collected continuously in the background.
• Push notification registration information, such as the device notification token, and delivery status for school alerts.

How information is used

Pathshala uses information to sign users in and verify access; display and manage school profiles and records; record attendance, results and fee activity; connect a parent or guardian with linked student accounts; deliver requested school alerts; protect accounts and school data; and maintain and troubleshoot the service.

Photos, camera and location

You choose when to add or replace a profile photo. The app opens the camera or photo picker only for that action. The photo is used in the relevant school profile or attendance record. Original images are kept unchanged when the service creates resized display copies.

Precise location is requested from a teacher only when submitting self-attendance. The app shows the location and attendance details for confirmation before submission. If location permission is denied or device location is unavailable, that check-in cannot be submitted through the location-based flow.

Notifications and messages

When notifications are allowed, Pathshala can send app notifications about school activity, including attendance and fee alerts. The school may also enable SMS, WhatsApp or email delivery and configure a messaging provider. For a message, the selected provider receives the contact destination and the message details needed to deliver it. Message content may include a student’s name and attendance or fee information. A school controls which channels it enables. You can turn off app notifications in your device settings; contact the school to change school-managed message preferences or contact details.

Where information is stored and who receives it

School records and account data are stored in Pathshala’s Firebase and Google Cloud services, including Firebase Authentication, Realtime Database, Cloud Storage and Firebase Cloud Messaging. Google processes information under its own privacy terms. School-authorized owners, administrators and teachers can access records needed for their roles. A parent or guardian can access the student accounts the school has linked to that family.

If a school enables SMS, WhatsApp or email alerts, the school-selected provider processes the recipient address or number and message content. Pathshala does not sell personal information or use student records for targeted advertising.

How long information is kept

School records are kept while the school uses Pathshala and according to the school’s record-keeping instructions and applicable requirements. The school owner or administrator can update or remove school records and accounts. Some information may remain for a limited period in security logs or service backups where needed to operate and protect the service.

Security

Pathshala uses authenticated access, school and role-based access controls, and encrypted connections to help protect information. No internet service can guarantee absolute security. Keep your password and one-time verification code private, and tell your school if you believe an account has been accessed without permission.

Students who are children

Pathshala may process school information about children, including student photos, attendance and results. Student accounts are provided and managed by the school. A parent or guardian with a question about a child’s data should contact the school owner or administrator first.

Your choices and requests

Ask your school owner or administrator to view, correct or remove school-managed student, family or staff records, or to update account contact details. You may deny location or photo access; features that need those permissions will not work until access is granted. You may disable app notifications in Android settings.

Changes to this policy

We may update this policy when the app or its data practices change. The “Last updated” date above shows when the current version was published.
